Making single documents

In Matters made from an Application there are normally many documents that can be made using document templates and text from the Site, Client and Matter data. In this sense there are usually many documents made in Matters.

In bcdDocuments you can make documents for a client not related to an Application or Matter. In the Document Assistant such documents are registered under "No application". These documents do not refer to any Application or Matter. These document templates use data items or bookmarks for Site and Client data and do not use Matter data. In this sense they are referred to as single documents.

There may be a need to make a document for all your clients who have a matter made from a certain application. This construction also is handled in bcdDocuments. A simple example is an Application handling correspondence for an investment scheme and when a milestone event affecting all clients happens a document is made for each client and sent to them.

Making a document

There may be instances where you want to make a document without reference to an application or a matter. For this reason, bcdDocuments includes the capacity to generate documents that contain only site and client data. Access this function from the Documents - Docs - Make one document menu.

DOcs_makeOne

Select the document you wish to make from the list of documents available.

Select the Client and Site data you wish to fill the document with and press Docs_MakeDocumentBtn.

DOcs_makeOne_Selections

Once you have made your document, click Btn_Next for further actions.

Making a document for all matters of an application

Suppose you have an application and when a milestone happens for the topic of the application, you want to make and send a document to all clients having matters for the application. An example would be an application managing correspondence with the shareholders of a venture where each shareholder's letter contained details depending on their stake in the venture. The same document would not be sent to each shareholder; information in each document would be different.

Assuming you had set up the application with one or more documents you can make any document of the application for all clients having matters of the application. Do this using menu Documents - Docs

The task of making the documents requires selecting the options and selecting the application and a document of that application. After the documents are made a log or report of the results is presented.
