Reports and Graphs

Workflow Management provides a variety of reports and graphs providing insight for you.

The range of bcdDocuments reports, which cover applications, clients, data fields, documents, events, matters, non-working days, matters pick lists, research and sites are outlined in this chapter.

From the Reports menu:

Two reports are available from menu Reports - Client and Site Fields. Each reports the data fields for the Client and Site database respectively.

Event reports

This report is a flexible tool that allows reporting of events.

  1. Select the 'Who', 'What', 'When', 'Which' of the events.
  2. Define the page controls and order desired of the reports.
  3. Save the specification of a report for fast access using the Save tab or the Reports menu.

Reports_Events01

Once the specification of a report has been selected, the report may be saved under a report name. It may then be printed, deleted and the last used seven saved reports may be previewed from the main form's Reports menu. An advantage in using saved reports is they can be easily reused without having to step through all the selections each time the report is required.

In the Which tab event types reported on may be included or excluded from the report. Only event types allowed to be reported appear in the Which tab. See the Event Types Assistant to learn how to allow an event type to be reported or to prevent it appearing in the Which tab.

Reports_Events02

Event reports are saved per staff member and are selected by their given name. On the Save tab reports may be saved, printed to a preview screen and deleted. The last seven saved events reports are available for previewing from the bottom of the main Reports menu, illustrated below. Each staff member has their own collection of saved report specifications. All saved reports belonging to a staff member are available from the Save tab.

Reports_Events_Saved

The list of saved reports available from this menu changes as a "most recently used" list. The last used report goes to the top of the list. The second list item is the event report used most recently after the first item, and so on.

Task lists: To get an individual task list of events due and overdue for any staff member for all dates or any date range use Event reports and:

If this report is saved that staff member can quickly get a report of, for example, all tasks due in the current week by continually using this saved report. When the date range of "this week" is selected in step c., it remains valid for "this week" into the future. This technique can be used for all the canned date ranges selected using a radio button. ("this week", "this fortnight", "this month", "within 45 days", ...).

Documents per week day graph

This graph shows the count of documents made per week day. It includes either or both documents made for matters and single documents (made not using a matter). Documents are counted as many times as they are made. Document counts can be displayed for any application or all applications. Specify the date range you wish to display the count for, or choose 'All dates'.

Documents made under a matter are counted for active matters.

Click and drag on a portion of the graph to zoom in. Click the refresh button to zoom out. You can print directly from this window.

Events per staff member graph

This graph can show the number of events which are overdue, pending or done for all staff or for a selected staff member, for evens which are active, inactive or either. Events which are done can be counted as those done late, early or just done. An event is done early if it was marked done on or before its due data. A simple example chart is shown below with the options showing.

Click and drag on a portion of the graph to zoom in. Click the refresh button to zoom out by redrawing the graph. You can print directly from this window. The check box for "All staff" will bring up all staff events and this can be used to compare staff work-loads and performance.

Matters per month graph

This graph shows the count of non-test matters registered in any 12 month period for all applications or any application. Select from the drop down box to choose the application you wish to specify.

Left-click and drag on a portion of the graph to zoom in. Click the refresh button to zoom out. You can print directly from this window.

Using the options, not shown below, you can choose to chart the matters which are not test matters, made for all dates or for a 12 month period starting on the first of any month. A simple example is shown below with options hidden. Click on the options button to show the options.
